Gentu Integration

Introduction

The integration of i-scribe and Gentu is powerful and continually evolving to provide you with the best user experience. Here's what you can currently expect:

  • Sync Appointment Information: Automatically sync patient name and Date of Birth (DoB) from Gentu to i-scribe, ensuring accurate and up-to-date information.

  • Send Letters to Gentu: Send your i-scribe letters into Gentu with the click of a single button. See How to Send i-scribe Letters to Gentu to learn how to set this up.

Prerequisites

Before starting the integration process, ensure you have the following:

  1. Gentu Account: You should have an active account with Gentu.

  2. Gentu User Role: Your user role in Gentu needs to be either Doctor or Administrator.

  3. Billing Provider Status: Your Gentu user must be a billing provider.

    1. In Gentu: you can check these settings by clicking Settings > My Practice > Manage Users
  4. Email Matching: For security reasons, the email address associated with your Gentu account must match the primary email one used for your i-scribe account.

    1. In i-scribe: if needed, this is how you change an email addresses to your primary email address
  5. Gentu GTU number: If a colleague has already integrated your practice with i-scribe, this will allow you to find the correct practice in the i-scribe interface. It is visible in the top right corner of the screen in Gentu.

Adding the Integration

If your practice is already integrated with i-scribe:

If your colleague has already added the Gentu integration in i-scribe, then you can directly select your practice in i-scribe. Otherwise, see the “Adding a practice to i-scribe” section.

  1. Navigate to Settings > Integrations.

  2. Click on Add Integration.

  3. Select Gentu from the list of available integrations.

  4. You'll see a list of practices. Choose the practice that matches your GTU number to complete adding the integration.

Adding your practice to i-scribe:

If you don't see your practice's GTU number in the list, click on "Add your practice" and follow the steps below to add your practice to i-scribe.

  1. Follow the steps above until you see the list of practices.

  2. Click Add Your Practice.

  3. In a separate browser tab, log in to your Gentu account.

  4. In Gentu, select Marketplace from the left-hand menu.

  5. Find i-scribe in the list of available integrations and select it.

  6. Click Add to Gentu

  7. Copy the pairing code

After completing the above steps, you'll be provided with a unique pairing code in your Gentu account. Follow these steps to pair the two platforms:

  1. Go back to the i-scribe tab where you left off after selecting your practice.

  2. Enter the pairing code from Gentu into the designated field in i-scribe.

  3. Click Submit to finalise the integration. This will add the integration to i-scribe.

Using the Integration

Once the integration is set up, it will work as following:

  • i-scribe will automatically fetch information from your Gentu appointments approximately every 15 minutes.

  • Patients booked in Gentu will be displayed in the patient list within i-scribe.

  • i-scribe will pre-fill the patient name and Date of Birth (DoB) fields using the data synced from Gentu, saving you time and reducing manual errors.

FAQs

  • I can’t see my practice when trying to add the integration, what should I do?

    • If your practice is not displayed, it means that it has not been added in i-scribe or is disconnected. Please follow the instructions for Adding a new practice to i-scribe as above.

  • Why do I get the error “Could not find user with the same email address in Gentu”?

    • If you see this error, it means that i-scribe cannot find a user with the same email in Gentu as the one you selected. This could be due to several reasons:

      • You are not connecting to the right practice: double-check that the practice that you’re attempting to integrate with is your practice. In Gentu, open Settings > My Practice > Practice Preferences and check that the practice name displayed in Gentu is the same as the integration name in i-scribe.

      • Your email in i-scribe is different to your email in Gentu. In i-scribe, open the profile page. Check that this email is the same as your email in Gentu. You can view your email in Gentu in Settings > My Practice > Manage Users. If the emails do not match, you will need to change your i-scribe email in the profile page.

      • You are not a billing provider in Gentu. Check this in Gentu in Settings > My Practice > Manage Users, then select your user. Under the Practitioner Details, verify that the Billing Provider box is checked. If this is unchecked, then i-scribe will not be able to view your Gentu details.

      • If you have insufficient permissions to view or change settings in Gentu, please contact your practice’s Gentu administrator.

  • Will my consult disappear in i-scribe if I delete the corresponding appointment in Gentu?

    • The Gentu integration in i-scribe will automatically synchronise your Gentu appointments in i-scribe. If any appointments are deleted from Gentu, then they will also be deleted from your i-scribe patient list. However, if you have any saved transcript, notes or outputs for that consult, then it will not be removed by the integration.

  • I’ve added the integration to i-scribe. Why can’t I see my appointments in the patient list?

    • The Gentu integration in i-scribe will only update the i-scribe patients list with appointments for the next 24 hours. The integration will also only refresh once every 15 minutes. If an appointment was recently added in Gentu, then you can use the Sync Now button to immediately update your patients list.

    • The Gentu integration will only pull consultations from Gentu for the user with the same Email. Double-check that your i-scribe email is the same as the email you primarily use in Gentu.
  • Why does my integration say “disconnected”?

    • The integration status is set to disconnected when the i-scribe app is removed from your practice in Gentu. This means i-scribe is no longer able to access your Gentu practice. You can either remove the integration or reconnect the integration by following the steps described in Adding your practice to i-scribe as above.

  • Why is the displayed appointment time in i-scribe different to the displayed time in Gentu?

    • i-scribe will display your appointment time in your local timezone while Gentu will use the timezone settings for your practice. You can eliminate these discrepancies by setting up the timezone on your local computer to match the timezone setting for your Gentu practice.
